3). Confidential documents should be destroyed before they are thrown out. You can collect all shredded document in one box and plan a trip to your local recycling facilities. Paper is recyclable and it can be used to produce new paper. But the other side of paper that are not printed can still be used as a scratch paper to record important notes in meetings or presentations. If there are any documents or messages that need to be reproduced and circulated in the office, then print or photocopy them on recycled papers (other side of the paper).

4). Download the organizing tools that allow you to list your to-do’s and pending task instead of writing them on a piece of paper and pinning it in front of your desk. As that list is inside the computer, it will never lost so that you will not lose one of your reminders. You can also use the phone to alert you, and you can even set alarms for your appointments.

5). Keep company documents such as manuals and operating standard in intranet or other secure parts of your company’s website, so that every time your employees need them, they can only open their computer to access the document. This can maximize space cause your employees will not have bukly manual and unnecessary papers.

6). Use an online fax instead of a usual fax machine. Online fax does not print all your fax messages. This gives you a free hand to choose which documents should be a be printed and which should remain in your inbox. You will also be given an option which pages should be printed and which should be left and read online.
